Virtual Assistant Position

5 hours/week minimum

I’m looking to hire someone who can interface with prospective clients and help manage the scheduling of existing clients, in addition to other administrative duties. Due to the random nature of inquiries and reschedules, I need someone who can be responsive to clients on short notice.

  • Is proficient in communicating by phone, email, and text.

  • Is computer savvy

  • Has prior administrative experience in the healthcare field. Experience with mental health is a plus.

  • Provide accurate information about services and availability in a professional manner.

  • Communicate with owner in a timely and efficient manner.

  • Assist with other clerical and administrative duties.

 

Job Duties:

  • Respond to emails and phone calls from clients who are inquiring about services within 24 hours. Conduct a brief initial intake and communicate information about services that can be provided.

  • Relay information about prospective clients to owner for acceptance or denial into the practice.

  • If accepted, send intake paperwork to client. If denied offer caller relevant referrals.

  • Communicate with client's insurance company and verify benefits, when needed.

  • Conduct oneself in a way that engenders trust and a feeling of safety for clients.

  • Communicate with clients regarding their account balances. 

  • Provide relevant information to insurance billing service to facilitate claims processing. 

  • Ensure accuracy of Simple Practice calendar, including client appointment reminders.

  • Communicate with clients regarding schedule changes and rescheduling appointments.

  • Enter documentation into client records.

  • Research referrals for clients, as needed.

  • Manage crisis calls ethically, compassionately, and effectively.

  • Other duties as may be assigned.
